This Privacy Policy explains how Faxday, a product of RWR Technology, collects, uses, and protects information when you use our service and website.
Information we collect
We collect: (a) account information you provide, such as name, email, organization, and phone number; (b) payment information, processed by our payment provider — we do not store full card numbers; (c) fax content and metadata you send, receive, or store, including numbers, timestamps, page counts, and documents; and (d) usage and device data, such as log data, IP address, and actions taken in the app, used to operate and secure the service.
How we use information
We use information to provide, maintain, and improve the service; transmit and store your faxes; authenticate users; process payments; provide support; send service and, where permitted, product communications; detect and prevent fraud and abuse; and comply with legal obligations. AI features (such as summaries and data extraction) process document content solely to deliver those features to you.
Subprocessors
We share limited data with vetted providers that help us run the service, including: fax transport (telephony carrier), payment processing, authentication, cloud storage, transactional email, application hosting, error monitoring, and AI/ML processing. Each is bound by contractual confidentiality and security obligations. A current subprocessor list is available on request.
How we share information
We do not sell your personal information or Customer Data. We share it only with the subprocessors above, when you direct us to, to comply with law or valid legal process, or to protect the rights and safety of Faxday, our users, and the public.
Data retention
We retain Customer Data for as long as your account is active or as needed to provide the service, and thereafter as required to comply with legal, tax, and audit obligations. You can delete faxes and, subject to retention settings, we will remove them from active systems. Backups are cycled on a rolling basis.
Security
We use industry-standard safeguards including encryption in transit, access controls, tenant isolation, and audit logging. No method of transmission or storage is completely secure, but we work to protect your information and to notify affected parties of incidents as required by law.
Your rights
Depending on your location, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, contact [email protected]. Organization administrators can manage most user data directly in the app.
HIPAA
Where a Business Associate Agreement is in place, Faxday handles protected health information in accordance with that agreement and applicable HIPAA requirements. Do not transmit PHI before a BAA is executed.
Cookies
We use strictly necessary cookies for authentication and security, and limited analytics to understand and improve the product. You can control cookies through your browser settings.
Children
The service is not directed to children under 18, and we do not knowingly collect their personal information.
